FAX-to-ANY & ANY-to-FAX File Format Solutions
We can automate forms you have provided to your trading partners, consolidate multiple formats into one or more standardized forms or individually map each business document whether it comes in by mail, fax or email. We can also do turnaround documents – ANY-to-FAX-to-ANY. A purchase order (an 850 or 875 EDI transaction) is translated into a form that is delivered by fax to the supplier. The supplier then fills in their invoicing information and faxes it back. We interpret the additional data and convert the form back into an invoice (an 810 or 880 EDI transaction).
Each time your trading partner fills in a form, they fax it to our toll-free number and the image is introduced directly into our processing system. Documents received by mail or email are similarly scanned. Our processing system creates a transaction record for each form or document received. It records the date and time of receipt, where it is coming from, what type of document it is and how it should be processed.
Before the data can be extracted, the form or document has to be “set up” for processing. Each data element is identified, mapped (where the data element is located), formatted (if is it letters, numbers or both) and matched against a range of possible values or used to automatically fill in corresponding information. These rules help minimize errors, enable error resolution routines and speed up processing.
Once a document is identified, it is sent to a workstation. Each data element is examined by our system which interprets what has been handwritten or typed. This interpretation is compared against the data element’s expected format and values. A Data Quality Control Operator verifies the interpretation and only corrects interpretation errors. Each time an interpretation is corrected, our system learns to accept the deviation the next time it comes around. Each time a data element falls outside of its expected format or values, the form is partially processed and automated error routines and/or customer support are activated in order to complete the processing.
Once all of the data elements are interpreted and validated, the data is processed and translated into the required file format and delivered for automatic processing to the intended destination. More >>
Throughout the entire process, from the moment we receive the document up to and including delivery and confirmation of delivery (997) to the final destination, each transaction is monitored and tracked.
Each time we process a document, we charge a small fee. If it comes from your supplier, we generally bill them. If it comes from your customer, we bill you.

Forms provided to customers can be modified (data elements added, deleted or changed) easily and quickly. Databases that are updated in a timely fashion eliminate unnecessary error exceptions and customer support.
For some suppliers, our FAX solution is sometimes the only solution available that suits their existing technology and budget. For these suppliers, we also provide ANY-to-FAX and FAX-to-ANY translation services as well.
Once we have completed the set-up to process forms from your non-compliant suppliers into the file format that fits your processing system, we take over registering, delivering the form, facilitating start-up and then finally billing your supplier for our ongoing services.
